This notice explains how Holotes Ltd ("Holotes", "we", "us") handles personal data in connection with holotes.com and holotes.co.uk and with enquiries you send us. We are the data controller for that data. This notice is written to comply with the UK General Data Protection Regulation and the Data Protection Act 2018.
1. What we collect
- Enquiries and invitation requests. If you email us or use the invitation form, we receive your name, email address, the place you describe, and whatever you include in your message. Form submissions are stored on our hosting provider's private storage and are not shared.
- Technical data. Our hosting provider records standard server logs, including IP address, browser type, requested pages and timestamps, for security and operation of the Site.
- Analytics. We do not currently run analytics or advertising trackers on the Site. See our cookie notice.
2. Why we use it and the legal basis

3. Sharing
We share data only with service providers who host the Site and our email, under contracts that restrict their use of the data, and with professional advisers or authorities where the law requires. We do not sell personal data.
4. International transfers
Our providers may process data outside the United Kingdom. Where they do, we rely on adequacy regulations or the International Data Transfer Agreement and standard contractual clauses to protect it.
5. Retention
Enquiry correspondence is kept for as long as needed to deal with the matter and for up to six years afterwards where it may be relevant to a legal or contractual issue. Server logs are retained by our hosting provider for a short rolling period.
6. Your rights
You have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, to data portability, and to withdraw consent where consent is the basis. To exercise any right, email legal@holotes.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
7. Security
The Site is served over HTTPS. Access to enquiry mailboxes is restricted to authorised staff and protected by multi-factor authentication.
8. Changes
We will update this notice when our practices change and show the date of the latest revision at the top.
